Help Wanted: Office Manager / Administrator
Role Purpose:
Dual responsibility for providing proactive administrative support to the Chairman and Executive Management Team as well as day to day workings of HQ Office.
Duties and Responsibilities:
• Maintains Executive's schedule by planning and scheduling appointments such as meetings, conferences, teleconferences.
• Drafts and produces information of all nature by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Schedules and tracks all travel for executives and employees when requested, including but not limited to flights, hotels and car rentals.
• Sends bespoke communications to internal staff where required e.g. birthday emails and work anniversary emails.
• Creates, tracks, collects and delivers all mail packages via USPS, UPS and FedEx.
• Reconciles relevant postage invoices on a monthly basis.
• Plans and executes all company events, with support from others where needed.
• Tracks and orders all office stationary and supplies on a monthly basis and ad hoc as required.
• Performs other duties as required, including but not limited to ordering flowers, ordering and collecting lunch, ensuring rooms are ready for meetings.
• At times, must be available to work in the evenings and on weekends
Qualifications, Experience and skills Required:
• Minimum 1-2 years’ experience in Office Administration/Exec support role essential.
• Bachelor’s Degree in Marketing, Communications or similar related field.
• Proficiency using a variety of computer software applications, especially Microsoft Word, Excel and Outlook.
• Strong interpersonal skills handling sensitive and confidential situations and documentation.
• Ability to communicate effectively and clearly at all levels and with both internal and external clients
• Excellent spelling, grammar and written skills.
• Friendly and polite telephone manner.
• Knowledge of office administration procedures.
• A high level of attention to detail is required.
• Highly effective at establishing priorities, multi-tasking and meeting tight deadlines.
• Must be flexible and willing to adapt in a fast paced environment.
• Proactive and takes initiative to drive activities to closure, with limited supervision.
